Privacy notice

At transparently.tech we are committed to protecting your privacy. This notice applies when we are acting as a controller of personal data, that is, where we have determined the purposes and means of the processing of that personal data. It applies to all users of our website, transparently.tech.

What we collect and why

We process your personal data for the purpose of contacting you if you submit an enquiry using the contact form on our website. The legal basis for this processing is that it is necessary to achieve our legitimate interest, namely responding to your enquiry and promoting our products and services.

We will store your contact details, being your name, email address and the content of your message, for five years from the last live discussion.

How do we collect your data?

You directly provide us with all of the data we collect. We collect and process data when you contact us via our contact form.

How do we store your data?

Enquiries submitted through our contact form are sent by email to our team using Resend, our email delivery provider, and are kept in our team's email, which is hosted by Google Workspace. We do not hold a customer database or CRM: submissions are not stored in any separate portal or system beyond that email.

We share your personal data with third parties only to the extent reasonably necessary to operate the contact form and respond to your enquiry. This means Resend (which delivers the email), Google Workspace (which hosts our email), and Cloudflare Turnstile (which checks the submission isn't automated, using your IP address transiently for that check only). We do not sell or share your data for advertising purposes.

Some of these providers process data in the United States. Where personal data is transferred outside the United Kingdom, the transfer is protected by recognised safeguards: the UK extension to the EU-US Data Privacy Framework where the provider is certified, or standard contractual clauses incorporating the UK International Data Transfer Addendum.

Your rights

As you are providing us with your personal data, it is important to us that you are aware of the following rights you have in relation to our processing of that data.

  • You can request a copy of any personal data concerning you that we process, unless that would affect the rights and freedoms of others, along with information on how it is processed.
  • You can ask us to rectify any personal data of yours that we hold that is inaccurate or incomplete, and in certain circumstances ask us to erase or restrict the use of any of your personal data.
  • You can object at any time to our processing of your personal data on grounds related to your particular situation.
  • You can object at any time to our processing of your personal data for direct marketing purposes.

You can exercise any of these rights by contacting us using the details at the bottom of this notice. If you are unhappy with any aspect of how we have processed your personal data, or with our response to a request to exercise a right, you can lodge a complaint with the Information Commissioner's Office.

Our internal business records

Separately from the contact form, we keep internal business records of our work, which may include notes on projects and professional contacts, for our own management purposes. These records are not shared with third parties, are not used to make automated decisions about you, and are not used for marketing.

Marketing

We do not currently send marketing communications. If that changes, we will only contact you about our products and services with your agreement, and you may opt out at any time by contacting dpo@transparently.tech.

Cookies and analytics

We do not use cookies for marketing, advertising or tracking, and our website does not show a cookie banner because none is needed. We use Cloudflare Web Analytics to understand overall site traffic. It is cookieless: it does not use a unique identifier to track you across sites or store any personal data about your visit.
